Policy
1. General Lodge Terms & Conditions
a. Bookings
All reservations, enquiries, and bookings may be made via email, phone, or our website. Email enquiries will be responded to as soon as possible and within 24 hours during weekdays. For instant confirmation, we recommend booking directly via our website or contacting the lodge by phone.
b. Check-In Policy
Standard check-in time is from 2:00pm. Guests arriving earlier are welcome to store luggage at the lodge, subject to availability.
c. Check-Out Policy
Standard check-out time is 10:00am. Late check-out may be available by prior arrangement and is subject to availability. Additional charges may apply.
d. Age & Responsibility Policy
All reservations must be made by a person aged 18 years or older. Valid photo identification may be requested at check-in.
Any person under the age of 18 must be accompanied and supervised by an adult at all times. Failure to comply may result in termination of the accommodation without refund.
e. Occupancy & Extra Persons
Rooms may not exceed their maximum occupancy. We are unable to accommodate extra persons beyond the stated room capacity.
f. Rates – Currency & GST
All accommodation rates and services are quoted in New Zealand Dollars (NZD) and are inclusive of 15% GST, unless otherwise stated.
g. Force Majeure
Te Karaka Lodge Limited will not be held liable or deemed in breach of this agreement if it is unable to meet its obligations due to events beyond its reasonable control, including but not limited to acts of God, natural disasters, war, strikes, or government restrictions.
To secure your reservation at Te Karaka Lodge, full payment is required at the time of booking.
As a small, destination lodge with limited availability, this enables us to confirm your stay and prepare our team, dining, and lodge experience in advance.
All payments are processed in accordance with our Cancellation & No-Show Policy. We strongly recommend guests obtain comprehensive travel insurance to cover unforeseen changes to travel plans.

3. Payment method & charges
a. Online Payments
Online bookings made via the lodge website are charged in full at the time of booking using a valid credit card (Visa or Mastercard). Payments are securely processed via our third-party payment provider, Stripe, which complies with New Zealand regulatory and PCI DSS security standards.
b. Credit Card Surcharges
Visa & Mastercard: 2.5% surcharge
American Express: 4% surcharge
Surcharges are non-refundable. Any refunds to American Express will incur a NZD $250 processing fee.
Payments by EFTPOS or direct credit do not incur a surcharge.
c. International Payments
All prices are charged in NZD. Exchange rate fluctuations may result in differences between the original charge and any refund. The lodge is not responsible for exchange rate variances.
d. Bank Transfers
Bank transfer is also available as a payment option. If paying by bank transfer, please ensure the booking confirmation number is used as the payment reference so we can correctly allocate your payment.

e. Refunds
Approved refunds will be processed only to the original method of payment.
f. In-House Accounts
All charges must be settled on departure unless prior arrangements have been approved. Credit is available to approved companies upon completion of a credit application.
4. Cancellations, Deposits & No-Shows
Te Karaka Lodge is an intimate, destination lodge with limited accommodation. Cancellations directly impact our ability to re-sell rooms and plan staffing and dining experiences. We appreciate your understanding of the following conditions.
Individual Reservations
Cancellations made outside of 14 days of arrival will receive a 100% refund of the booking value.
Cancellations made within 14 days of arrival, or in the event of a no-show, will incur a 100% charge of the total booking value.
All cancellations must be received in writing by the lodge reservations team.
(20 December – 12 January inclusive)
Due to high demand, the following conditions apply:
Cancellations made within 60 days of arrival will incur a 50% charge of the total booking value.
Cancellations made within 30 days of arrival, or no-shows, will incur a 100% charge of the total booking value.
6. Children & Infant Policy
Te Karaka Lodge is curated as a peaceful, adult-oriented lodge experience. Our accommodation, facilities, and dining spaces are not specifically designed for young children, and suitability varies depending on season, occupancy, and the overall lodge environment.
General Children Policy
Children aged 7 years and under are not accommodated at the lodge, except where the lodge is booked on an exclusive-use (full buyout) basis.
Children aged 8 years and over may be accommodated by prior arrangement only, subject to availability, seasonality, and suitability at the discretion of the lodge.
Acceptance of children is not guaranteed and must be confirmed in advance.
Adults-Only Period
1 November – 28 February (inclusive)
During this period, Te Karaka Lodge operates as an adults-only property to preserve the tranquility and atmosphere our guests expect. No children or infants are accommodated during this time, except where the lodge is booked on an exclusive-use basis.
Shoulder & Off-Peak Periods
Outside of the adults-only period, children 8 years and over may be welcomed by prior arrangement only, subject to availability and lodge suitability at the time of booking.
Exclusive Lodge Use
When the lodge is booked on an exclusive-use basis, children of all ages are welcome year-round.
Dining – Children’s Meals
Children 7 years and under: NZD $30 per child
Children 8 to 13 years: NZD $65 per child
Children 14 years and over are charged at adult dining rates
Additional Information
Children 14 years and over are considered adults for accommodation and pricing purposes.
No child or infant discounts apply.
No additional bedding is available; children must use existing bedding unless otherwise agreed in advance as part of an exclusive-use booking.
7. Personal Information & Privacy
a. Collection of Personal Information (PI)
We collect only information necessary for lodge operations, including:
Bookings, check-in/check-out, room charges, and guest requests
Marketing participation (with consent)
Information supplied by third-party booking agents
Online forms and questionnaires
We do not knowingly collect PI from children under 18, except where provided by a responsible adult.
b. Security & Confidentiality
We implement reasonable technical and organisational measures to protect PI against unauthorised access, loss, or misuse.
c. Storage
PI is retained only for as long as required for operational, legal, and regulatory purposes.
8. Gift Vouchers
Gift vouchers may be used for accommodation or food & beverage at Te Karaka Lodge, subject to availability, within 12 months of purchase.
Vouchers must be redeemed by contacting the lodge directly.
Vouchers are not valid with third-party operators unless specified.
Gift vouchers are not redeemable for cash.
